The Estates Committee manages issues relating to the various halls and other property that are owned by the Council. Here is the agenda for the meeting of the Parish Council’s Estates Committee on Tuesday 16th June 2020.

Estates Committe & Election Cancellations

Please note that with regard to the current & changing Coronavirus circumstances, the Estate Committee meeting scheduled for Tuesday 17 March 2020 is postponed. In case of doubt or query regarding any Estate Committee matter Robyn Davison would be pleased to hear from you.

The conduct and scheduling of Parish Council business is being kept under constant review and according to County Association advice, Parish Council policy and legal obligations.

In addition the local elections scheduled for 07 May 2020 have now been postponed until May 2021. The parish of Woodford cum Membris Parish Council is not affected because we have no scheduled election this year but the effect on the composition of the new unitary authority is not yet clear.

17/03 Estates Committee Agenda

New Hall Charges

Village Venue Hire Charges From April 1st

Memorial CentreAt February’s Parish Council Meeting a set of new charges was agreed for the Memorial Hall, Dryden Hall and Farndon Room.

The new charges will apply for bookings for dates after 1st April. Existing regular users with already agreed rates for the coming year are not affected.

12/19 Estates Committee Agenda

The agenda for this month’s Parish Council Estate Committee is now available.

The Committee will meet at 7:00pm on Wednesday 17th December 2019 in the Farndon Room, behind the Library.

Venue Hire Conditions

The terms and conditions for hiring village venues (Memorial Hall, Dryden Hall, Farndon Room) have been updated.

The new terms and conditions apply from now on and are available here and from the room booking page.

The terms and conditions have been updated to reflect the key-less access system now in use.

Memorial Hall Access

Changes From October 17th

Following the successful trials of the keyless access system which is now in use at the Dryden Hall, the same system is to be introduced at the Memorial Hall from 17th October 2019

TO ALL MEMORIAL HALL USERS – CHANGE TO KEYLESS ACCESS

Effective Thursday 17th October 2019

Please note, all hirers/users of the Memorial Hall will need a PIN code to enter from Thursday 17th October.

The main entry point for hirers will be via the rear hall door (accessed through the carpark). . All other entry doors into the hall will have had their locks changed and existing keys will no longer work.

If you have not been advised of your own unique entry PIN code by the 12th October you should contact the Halls Booking Clerk.

NB. All hall PIN codes are unique to the hirer & time related to the booked hire period. When used they are automatically recorded.

Dryden Hall Access

A new keyless access system has been introduced at the Dryden Hall.

TO ALL DRYDEN HALL USERS – CHANGE TO KEYLESS ACCESS

Please note, all hirers/users of the Dryden Hall hall will need a PIN code to enter from Now Onwards.

The main entry point will be from the kitchen door (brown door on the left). All other entry doors into the hall will have had their locks changed and existing keys will no longer work.

Hall Bookings Fixed

The problem with the halls booking system has been solved.

The email system linked to HallMaster is now operational again after the fault reported last week.

You can now book on line once more using our Halls Booking page.

We are sorry for any inconvenience, which was caused by a problem with the HallMaster email server.

An urgent message from Beverley Blackwell…

Please be advised that the halls booking system has stopped working.

The email system linked to HallMaster is not sending or receiving messages and so I have no idea if someone has booked a hall. Equally, I cannot email our customers from the Hallmaster system.

I have contacted Hallmaster to see when this fault will be rectified but we do not have a date or time for a solution yet.

Please do not book on-line for the time being until the system is back up and running. If you need to make an urgent booking please phone: on 07579 050003 or by email: bookingclerk@woodfordcummembris-pc.org.

18/06 Estates Committee Agenda

The Estates Committee manages issues relating to the various halls and other property that are owned by the Council.

The next meeting of this committee, will take place on 18th June at 7:00pm in the Farndon Room (back of the Library).

The agenda for the meeting is as set out here:

Things to be covered at this meeting include a report on planned preventative maintenance, a survey of electrical installations and various improvements.

The Parish Council recently decided to establish an Estates Committee to manage issues relating to the various halls and other property that are owned by the Council.

Minutes of the meetings of this committee are approved at the next meeting and are then published here. As a result, minutes are always published at least a month after the meeting concerned.

The minutes for the January meeting, as approved at the February meeting, are available in this document.
